How to Stop Cars Leaving Your Workshop Unpaid
A car that drives out with an open balance is the most expensive mistake a service center makes. Here is how to design the exit so it cannot happen by accident.
Why Unpaid Exits Happen
Rarely because of dishonest customers. Usually because the guard cannot tell whether the invoice is paid, the advisor handed over the keys as a favor, or the cashier closed the invoice later than the car left. When the gate decision depends on memory or a paper slip, it will sometimes be wrong.
Step 1: Make Payment the Only Way to Get a Permit
The exit permit should not be something staff can print on request. It should be issued by the same action that completes payment. Then "paid" and "allowed to leave" can never disagree.
- The payment that brings the balance to zero issues the permit at once.
- There is one permit per job card.
- An invoice with nothing to charge gets its permit immediately.
Step 2: Check at the Gate, on a Phone
The guard scans the permit's QR code with a phone, or types the permit number, card number or plate. The system first checks without changing anything. Only when the guard confirms is the permit marked used, exactly once.
If the car is refused, the screen says why, so the guard can answer the customer politely:
- No permit for this car
- Not paid, with the balance shown
- Permit already used, with the time
- The car is not inside
Step 3: Allow Credit Only as a Manager Decision
Fleets and company accounts do leave with open balances, and that is fine when it is deliberate. A manager approves release on credit for a company account within its credit limit. The permit is issued, and the invoice stays open for follow-up.
Step 4: Chase the Balance Automatically
Open invoices need a process, not a hope. Show aging buckets (0-30, 31-60, 61-90, 90+ days), rank customers by risk next to their credit-limit use, and e-mail reminders a few days after the due date, once per stage so nobody is nagged twice.
Keep a Record of Every Attempt
Every release and every refused scan should be on record. When a dispute comes up, you see who released which car and when.
Auto-one Services ERP issues the exit permit in the same transaction that completes payment, checks every gate scan against live data, and logs every release and refusal.

- Can a permit be used twice?
- No. The permit is marked used atomically on the first confirmed scan, and a second scan is refused with the time of the first.
- What if the customer pays by transfer or cheque?
- Cash, card, transfer and cheque are all recorded as payments. The permit is issued when the balance reaches zero, whatever the method.
- Do guards need special scanners?
- No. A normal phone camera is the scanner.
